Mission Trips & Tracking Members Accounts
I've had several people ask about how to record the transactions relating to mission trips. To help answer some of those questions, I recorded the following video (also under the Video Tutorial section).
But I left out explaining how to record a donation from someone who is not going on the trip for someone who is.
If the donation does not need to be kept under the donor's name, simply input it with the Customer Job name of the person going (this is ok for small amounts, but not acceptable if a donor acknowledgement is required).
If the donation receipt needs to be under the actual donor’s name, use the mission trip item and a mission trip class under the actual donor’s name. Then, in the Invoice screen (not Sales Receipt), use the attendees customer job name, create a donation under the mission job and class and enter the amount of the donation.
You now have the same donation in twice, so you’ll need to enter a credit under the customer account of the attendee. Under Customers, Create Credit Memos, issue a credit for the amount of the donation. This time, use only the customer name, not the job. That way the job will show the donation, but the overall account for the person going does not show the additional amount.
